Listed below are the compliance items for ALL exhibitors, and additionally, for companies occupying 400 square feet of space or larger. Please read The HFA Show 2026 Exhibitor Rules & Regulations found on The HFA Show 2026 Exhibitor Contract and send all required submissions noted below to Luke Ablondi via email (lablondi@healthandfitness.org).
Line of sight rules apply to ALL non-island booth configurations. Display materials should be arranged in such a manner so as not to obstruct sight lines of neighboring exhibitors. The maximum height of 8 feet (2.44m) is allowed only in the rear half of the booth space; with a 4 feet (1.22m) height restriction imposed on all materials in the remaining space forward to the aisle. Please refer to the IAEE Guidelines for your specific booth type.
Below is a partial list of compliance items for ALL HFA SHOW EXHIBITORS. These will require a submission(s) on the part of the exhibitor.
Exhibitors with in-line configurations (linear, perimeter, corners) or that are occupying less than 400-square-feet are not required to submit a booth rendering. However, it is IMPORTANT to note that you must adhere to the IAEE Guidelines applicable to these configurations. Line-of-sight must be kept clear and nothing may exceed 8 feet in height.
OVERSIZED PRODUCT: If you are displaying an oversized product taller than 8' or any item that does not conform to IAEE line-of-sight guidelines for linear booths, you must notify HFA immediately. Variances may only be granted in perimeter booth locations.
AUDIO: HFA maintains a maximum 80-decibel sound limit at the Trade Show. Sound systems and speakers must not be pointed outward from your booth into the aisles or adjacent displays. These items must be pointed inward.
Below is a partial list of requirements for HFA Exhibitors occupying 400-square-feet. or more. These require various submissions from the exhibitor.
All exhibitors occupying 400-square-feet of floor space and larger must submit a booth rendering showing the information below by January 30, 2026. These can be graphic renderings, line drawings, or hand-sketched, provided they contain the following:
HFA maintains a maximum 80-decibel sound limit at the Trade Show. Any sound, lighting, live or video demonstrations, etc., must be submitted to HFA for approval. They can be included with your booth layout, due January 30, 2026.
Exhibitors at The HFA Show 2026 may choose to receive complimentary GRAY booth carpet from Freeman (exclusive of padding) equal to the total square footage of your contracted booth space. HFA Show Management requires that all exhibit areas be carpeted or have alternative flooring.
Therefore, ALL exhibitors must complete the online form indicating whether you will utilize the complimentary Show Management carpet, or if an alternate color or flooring product will be used.
